Creating invoices with Leda QR codes

Sample invoice

This guide will take you through the steps to add a Leda QR code to an invoice through your platform of choice.

Before we get started, speak to your Account Manager to get your Leda QR code and Leda QR code URL.

To add a Leda QR code to a Microsoft Word-based invoice:

  1. Open your invoice in Microsoft Word.
  2. From the Insert menu, select Pictures > This Device.
  3. Select the Leda QR code you want to use and then click Insert.
  4. Position and place the Leda QR code on your invoice. For best results, see Leda style guide for Merchant Partners and follow our invoice guidelines.
  5. Save the invoice and then Close.

To add your Leda QR code URL, in case your customers can’t scan your code or they’d prefer clicking a link:

  1. Select the Leda QR code that has been placed on your invoice.
  2. From the Insert menu, select Link > Insert Link.
  3. Enter the Leda QR code URL into the Address field.
  4. Click OK to save the URL and then Save.

To add a Leda QR code to a MYOB Essentials (web-based application) invoice:

  1. In MYOB Essentials, click on your business name and select Invoice and quote settings.
  2. From the Invoice and quote settings page, select Styling and themes.
  3. Select the Full width header image option.
  4. Click on Upload header image and upload your business banner that includes your Leda QR code.
  5. Click Preview to see what your invoice will look like, and Save to confirm your changes.

Note: Invoice customisation options in MYOB Essentials are currently limited. Please refer to MYOB Essentials invoice guidelines for tips on how to create a header that incorporates your Leda  QR code. 

To add a Leda QR code to a MYOB AccountRight (desktop-based application) invoice:

  1. In MYOB AccountRight, click on Setup > Customise Forms.
  2. On the left-hand tab, click on Invoices.
  3. Select the invoice you want to customise, then click Customise.
  4. On the Customise screen, click on Picture.
  5. Browse and select the Leda QR code you want to use and then click Open.
  6. Position and place the Leda QR code on your invoice. For best results, see Leda style guide for Merchant Partners and follow our invoice guidelines.
  7. Click on Print Preview to see what your invoice will look like, and Save to confirm your changes.

To add a Leda payment hyperlink, in case your customers can’t scan your code or they’d prefer clicking a link: 

  1. In MYOB AccountRight, click on Setup > Customise Forms.
  2. On the left-hand tab, click on Invoices.
  3. Select the invoice you want to customise then click Customise.
  4. On the Customise screen, click on Text Box.
  5. Position the text box and then enter your Leda QR code URL.
  6. Click Print Preview to see what your invoice will look like, and Save to confirm your changes.

First, enable custom form templates (e.g. Invoices) in QuickBooks Online:

  1. Click on the Settings, then select QuickBooks Labs from the Your Company column.
  2. Scroll down until you see Import Styles1, then toggle the switch to ON.
  3. Click Done.

1As of 29 June 2021, new QuickBooks Online accounts will no longer have access to the Import Styles feature inside of QuickBooks Labs. However, existing accounts can still save and upload DOCX templates. For more information, see Import custom form styles for invoices or templates.

Next, add a Leda QR code to a QuickBooks Online invoice using the DOCX template:

  1. Click on Settings, then select Custom Form Styles.
  2. Select New Style from the dropdown menu, then Import Style.
  3. Select the Invoice form type.
  4. In the Upload your .DOCX file field, find the updated template that contains the Leda QR code and click Next.
  5. Check that your template fields match the QuickBooks fields. (You can change the QuickBooks fields.)
  6. Click on Next.
  7. Preview your invoice template. If you’re happy with your template, select Save, otherwise select Back to make changes and re-import your DOCX invoice template.

To add a Leda QR code to a Xero invoice using a DOCX template:

  1. Click on your organisation name and select Settings > Invoice settings.
  2. Find the invoice template you want to update and click Download.
  3. Edit your invoice using Microsoft Word.
  4. In Xero, return to the Invoice settings page, find the updated template that contains the Leda QR code and then click Upload.
  5. Follow the prompts to upload your invoice template and then click Upload to confirm.

Things to know

• For QR code integration to work, you must be a Leda merchant partner.
• For your customers to pay via QR code, they must be Leda customers.
• For assistance with different invoicing software, please speak to your Account Manager.

FAQs

Leda QR code payments allow you to get paid right away simply by displaying your QR code for customers to scan using their smartphone. You don't need any additional devices.

Speak to your Account Manager to download your exclusive Leda QR code. Within 48 hours, you’ll be up and running, with customers scanning and paying.

You can continue to use your Leda QR code indefinitely, with two exceptions.

Your Leda QR code will stop working if you make certain changes to your business. This includes updating or adding a new business location, registering a new ABN/ACN, and other changes of note. Speak to your Account Manager to find out whether you’ll need a new Leda QR code based on the specific changes you’re making.

Similarly, if you decide to part ways with Leda , your Leda QR code will also be deactivated.

Just the Leda app. Your clients can download the app for free from either the Apple App Store or Google Play Store.

Leda QR codes are unique to business locations. So if you have five different stores, you’ll have five Leda QR codes. This makes it easier to track and reconcile your transactions.

You’ll need to get a new Leda QR code for your new location. Your dedicated Account Manager can help you with that.

You can speak to your Account Manager to get a new Leda QR code. Alternatively, call our friendly team on 1300 88 52 37 and they'll point you in the right direction.

Where there’s a will, there’s another Leda way. Your customer should still have a number of ways to pay with Leda :

  • If your customer is paying an invoice, they can tap on the Leda QR code on their smartphone, starting the payment process on the Leda mobile app.
  • You can still send a Leda payment request to your customer from your Merchant Portal.

Remember, only the Leda mobile app supports Leda QR code payments. If your customer is paying your invoice on desktop, they’ll need to use their Leda mobile app to scan your QR code.

After your customer pays their invoice via QR code, we'll send you a notification via SMS or email to let you know. You can view the status of their transaction and more details in your Merchant Portal.

No stress! You can log into your Merchant Portal to process a refund, then send a new payment request from your Merchant Portal, or encourage your customer to re-do the Leda QR code payment process.

Yes. With every customer interaction, you can choose whether you’d like to send a payment request from your Merchant Portal, or use Leda QR code payments. This is just another payment method that makes it easier for your customers to pay with Leda .
